Job Description:

Program Management:

  • Be an active leader in developing a positive staff and participant culture.
  • Help manage staff schedules and the creation of staff meeting agendas.
  • Help lead parent orientations and Beacon Advisory Board meetings.
  • Support the director in collaborating with school staff to align program with mission of the school.
  • Review student attendance trends and provide needed interventions such as student conversations, parent contact and other progressive methods.
  • Support the evaluation of staff needs for professional development and the coordination of staff trainings and observations in accordance with contract and Department of Health (DoH) requirements.
  • Attend program related meetings in the director’s absence.
  • Undertake other program tasks as assigned by supervisor.

 

Administrative/Site Management:

  • Collect and review participant registration forms and manage the entry of registration data into the online database.
  • Plan trips and ensure the proper ratios are met during trips.
  • Support and counsel staff and be able to help with the implementation of a progressive discipline process for non compliant staff.
  • Maintain onsite staff HR files and make sure files are up to date (medicals, clearance forms). Provide copies of files to agency HR Director.
  • Order and maintain inventory of all office/program supplies.  Ensure that all electronic/ art supplies are properly stored and accounted for.
  • Help plan, promote and report on special events (culminating events, art shows etc.).
  • Complete program monthly report outlining program successes and challenges.
  • Serve as a liaison between staff and director
  • Respond to stakeholder communications via telephone, email and/or in person.
  • Respond to requests for data and information from agency managers
  • Undertake other administrative tasks as assigned by supervisor

 

Requirements:

  • Availability during program hours. The Beacon operates from Monday through Friday 12-8p.m. and on Saturdays from 9-5 during the school year. The program is also open during a number of school holidays and is a full day camp during the summer months. The Assistant Director is expected to work a total of 35 hours within the time frame described previously.
  • Associates degree or credit equivalent.
  • Cleared background check indicating ability to work with children.
  • Current CPR and First Aid certification within 90 days of employment .
  • Strong communication skills both written and verbal.
  • Computer literate with knowledge of Excel, Word, Outlook, Powerpoint, and Explorer.
  • Sense of humor with an ability to be flexible.
  • Prior supervisory experience in a similar setting.

 

Preferred qualifications:

  • Fluent in Spanish and/or Mandarin. 
  • Knowledge of effective teaching methods and curriculum development.
